Non Electronic Custom Barcode Labels

Note: Once a custom non electronic content type is created, a custom label template needs to be created applying this content type.

The recommended approach here is to edit an existing RecordPoint Label Template and save it as a new label template.

Turn on Developer Tab

  1. Firstly ensure the Developer Tab is turned on in Microsoft Word
  2. Navigate to and select Word Options
  3. In Word Options, tick Show Developer Tab in the Ribbon
  4. Click OK to save the settings

To edit any of the existing templates and save as new

In RecordPoint:

  1. Navigate to All Site Content
  2. Click on the RecordPoint Label Templates
  3. Click on the template you wish to base the new custom label template on (either RecordLabelTemplate, FileLabelTemplate or BoxLabelTemplate)
  4. A pop up message with Read Only or Edit options appears
  5. Select Edit
  6. Click on OK to confirm the selection
  7. Make changes to the template as required
  8. To insert a field from RecordPoint into the template refer to Content Controls
  9. To insert the barcode from RecordPoint refer to Content Controls
  10. Once all changes have been completed, perform a Save As and provide a name for the new custom template.
  11. Save your edited template in a location ready for upload to the RecordPoint site

Uploading the new label template using the new content type created

In RecordPoint:

  1. Navigate to All Site Content
  2. Under Document Libraries
  3. Select RecordPoint Label Template - this will display the Label Template Library
  4. Click on New Document
  5. Browse for the saved template
  6. Click Ok
  7. Enter the new content type name
  8. Click Ok

Content Controls

RecordPoint uses Rich Text Content Controls to insert RecordPoint fields and barcode into a template.

Content Controls act as placeholders therefore when creating the label for an item, these placeholers are replaced by specified metadata values on the RecordPoint File/Box.

In the template, we recommend using fields with the prefix "RP". For example, use "RP Title" to display the "Title" column, or "RP Record Number" to display the "Record Number" column.

To add a 'Placeholder' to the template:

  1. From a template
  2. Click on Developer Tab
  3. Click on Properties
  4. A pop up Content Control Properties page will appear
  5. Under Title and Tag properties, enter the fields of the Content Type whose values need to be printed
  6. Save and Check In the document after all changes have been made

To add a barcode image content control:

By default this control wil be added to the templates. This control will be replaced by the barcode of the file/box.

  1. Click on the Developer Tab
  2. Click on Picture Content Control
  3. When the picture content control is inserted, click on the middle icon to insert a picture
  4. Browse to any GIF image to be inserted as a temporary image. This image will be replaced with the barcode from RecordPoint when the Label is printed
  5. After the picture is inserted, make sure the picture content control is selected and click on Properties
  6. A pop up Content Control Properties page will appear
  7. For both the Title and Tag properties, enter Barcode Image as the value
  8. Click on OK
  9. Make any changes required, Save and Check In the document
