Transfer to Archives

Some jurisdictions and record authorities require that certain classes of records are transferred to archives once their lifecycle is complete at the relevant agency or organization.

RecordPoint supports your transfer workflow using the 'Transfer' Disposal Action.

As of RecordPoint release version 4.10, there are now 2 methods that can be selected when performing a disposal for records where 'Transfer' is the Disposal Action applied.

You can set the relevant Transfer method from the Settings > Pack Settings menu:

The Transfer methods available are RecordPoint and VERS. VERS is a jurisdiction-specific metadata & record export format mandated by the Victorian state government in Australia - you can find more information about the VERS standard and export process here: Victorian Electronic Records Strategy (VERS).

The RecordPoint transfer method is a more generic process designed for all customers. This is very similar to the RecordPoint Export functionality, but includes performing the export process as part of a Record Disposal.

You can set the Export location and details from the Settings > General Settings menu:

More information regarding the Export settings is available here: Exporting Records, File and Boxes. Once the Export settings are in place, you can complete a disposal following the steps described here: Managing Disposal and your records marked with the 'Transfer' Disposal Action will be exported ready for transfer.
