Aggregation level

The aggregation level determines the level at which electronic files are declared for the active site being managed by RecordPoint. This must be set during RecordPoint Content Deployment for the Active Site, if not applied during this stage the Submission Workflow would not be configurable.

This should be done in consultation with the Records Management function of the business, because once the aggregation level is set once it cannot be reversed.

Site

RecordPoint will use the site from which content was created within as the container.

E.g. If a finance site has been created with a number of libraries that contain documents, the documents will all be contained within a container called "Finance" - regardless of the library structure.

Lowest Level SubSite          

RecordPoint will use the lowest level sub site as the container.

E.g. If a finance site, that contains an expenditure sub-site, content created within libraries within the the expenditure sub-site will all be contained within a container called "Expenditure", regardless of the library structure.

List

RecordPoint will use the list (or library) as the container.

E.g. If you have a Finance site, that has a budgeting library, all content in the budgeting library will be contained with a container called budgeting within RecordPoint.

List or Top Most Folder

RecordPoint will use the list (or library) as the container, as described above. If the content is located within a folder, RecordPoint will contain content within this folder.

E.g. if you have a Finance site, that has a budgeting library, then RecordPoint will contain all content within a budgeting container. If there is a folder (or folders) within budgeting library, for e.g. 2011, then RecordPoint will contain all content within this folder within a folder called 2011. If the 2011 folder contains more folder levels, these will be ignored, and content instead contained at the 2011 level (within RecordPoint).

List or Lowest Level Folder   

RecordPoint will use the list (or library) as the container, as described above. If the content is located within a folder, RecordPoint will contain content within this folder.

E.g. if a Finance site contains a budgeting library, RecordPoint will contain all content within a budgeting container. If the content is contained within a folder within a folder, RecordPoint will use the lowest level folder as the container.
