Aggregation Holds

Introduction

Records Manager have the ability to put an aggregation on hold such that it will prevent items from being disposed.

Behaviours that apply to an aggregation on hold include the following:

  • Cannot add new items to the aggregation on hold;
  • Cannot edit existing items that belong to an aggregation that is on hold;
  • Cannot remove a child item from the hold when the parent aggregation is on hold; and
  • Placing a File on hold will also place its related parts and their respective child records on hold.

Adding a hold to a File

A Records Administrator can apply a hold on a File.

To apply an aggregation, hold, perform the following:

  1. Go to the File browser
  2. On the drop down
  3. Select Manage Holds
  4. Select Add a Hold
  5. Choose a Hold
  6. Click Save

The item will be added to the Queue for processing and when completed the item will have the hold applied.

Viewing current hold on a File

To view the holds that have been applied on a File, perform the following:

  1. Go to the File browser
  2. On the drop down
  3. Select Manage Holds

The holds that have been applied to the File will be displayed at the top.

Removing a hold on a File

A Records Administrator can remove a holds on a File.

To remove a hold on a File, perform the following:

  1. Go to the Record/File browser
  2. On the drop down
  3. Select Manage Holds
  4. Select Remove a Hold
  5. Choose a Hold
  6. Click Save

The item will be added to the Queue for processing and when completed the item will have the hold removed.

Note: A particular hold cannot be removed from a Record if the hold has been propagated from the parent File.
