Managing Electronic Files and Records

Content such as documents, lists and libraries are submitted and managed as records in RecordPoint. There are two distinct components related to record creation, the first is referred to as the Active Site where users create, contribute and edit documents and their associated files. The other component is RecordPoint, where record keeping and archiving occurs. 

Records submitted to RecordPoint are processed through a workflow which determines the state or version of the record being declared. Also during the submission process, the rules engine will calculate the appropriate classification and retention to apply to this content. 

To being managing records in RecordPoint, these processes that tie in the create and manage components should be set up. 

Pre-requisites

  1. The aggregation level for the active site being managed must be configured, refer to the article RecordPoint Aggregations 3.9
  2. The RecordPoint Submission workflow and behaviour must be configured for the content type being managed or configured for the library, refer to the article Submission Workflows 3.9
    •  The recommended approach is to set the workflow on the Content Type. To set the workflow at library level, this can be done in Workflow Settings in List or Library Settings
