Patterns are used by RecordPoint to evaluate content submitted from the Active Site. Patterns can be used across more than one rulerules, and rules can contain many multiple patterns, to provide the specificity necessary to identify a piece of Active Site content as a discrete type of record (dealt with in detail below).

Patterns can be applied at a number of levels within the SharePoint hierarchy. A RecordPoint pattern can be configured to evaluate based on the SharePoint site, library/list, content type and metadata values. In addition, patterns can evaluate based on a number of criteria. These criteria include conditions such as - equals, contains, begins with, ends, does not equal etc.

Examples of patterns include:

  • site = Finance
  • library = Reporting
  • content type <> Budget Report
  • metadata field = Annual Report

It is important to note that a pattern is not actively used by RecordPoint until it is used within a rule.

Info
Patterns and Outcomes are not actively used in RecordPoint until it is associated with a rule.

Create a Pattern

To create a pattern in RecordPoint:

  1. From the Rules menu, select Patterns
  2. Select ‘Add new item’
  3. Populate the new pattern form
    • Title: Provide a title for the pattern. Use a descriptive title for easy identification.
    • Pattern Type: This refers to the type of pattern being matched. Choose from: Site Name, List Name, Content Type and Metadata
    • Field Name: Name of the metadata field to match for this pattern when the type is metadata e.g. Title
    • Operator : The conditions for the type of match we are using for the pattern. These can include criteria such as equals, contains, begins with, ends with etc.
    • Pattern: The pattern type, field name and operation criteria combined will be evaluated against the pattern entered in this field.
    • Test Pattern: To test for errors in the pattern, type the pattern in this field and select Test Pattern.
  4. Click save
